Anonymise Data on Old Addmissions

I was talking with admissions yesterday and realised we may have some issues regarding logging enquiries in the future. We may set a threshold of a child being over 17 or enquiry being over a year old, at which point it becomes stale and we should delete or anonymise the data.

Is this something you have any support for or a process in place? From a GDPR and data sanity perspective I think we have to be careful not to keep personal information when it is no longer useful to us.

However, it may be interesting to record the age groups and some detail about the location of historic enquires. Have you any suggestions how we might achieve this? Perhaps by overwriting information such as name with Joe & Jane Blogs? Deleting address and contact information? I have also considered maintaining a separate DB for anonymised or pre-summarised data which may be preferable. One draw back of anonymising the data in iSAMS is that we may keep an audit trail of enquiries previous names etc. and therefore still be retaining data although accidentally, a clean delete may better.

I understand we can overwrite certain fields but this may leave us some info in an audit trail, would have to set up a dummy account to see which fields are safe and which might preserved data.

It would be great if there was an option to anonymise and archive so I don't have to export data to a marketing database and purge the isams one.
